Office Administrator at HealthAid Limited

Location :  Harrow, Middlesex
Hours :   9am to 5.30pm (Monday to Friday) - these times must be considered flexible in accordance with the needs of the business.

Salary :   Competitive - (This is temporary position (maternity cover) which could become permanent)

We are currently looking for a Office Administrator/PA to provide full administrative and secretarial support to Managing Directors and Sales Team.


  • Providing day to day secretarial and administrative support to the Managing Director and Regional Sales Managers.
  • Correspondence management
  • Making appointments, arranging travel itineraries, booking flights and accommodation both national and international
  • Organising meetings; preparing agendas; taking minutes and notes
  • Preparing of Monthly Sales reports and Debtors list
  • Maintaining the company car fleet (purchase of new vehicles, regular service, MOT, road tax, congestion charge, etc); ensuring company cars records are up to date; liaising with company insurers regarding accidents, etc.
  • Responsible for the company’s recruitment (liaising with recruitment agencies, posting job adverts, screening CVs, arranging interviews, requesting employment references)
  • Responsible for company telephone contracts (from managing the existing contract to renewal); reviewing mobile phone bills for the Sales Team
  • Arranging induction and training of new head office staff and the Sales Team
  • Responsible for Sales Team and Marketing Department’s HR information and data (offer letters, contracts, holiday schedules)
  • Checking and coding expenses; forwarding them to accounts department for processing
  • Preparing memos for office staff and Sales Team
  • Assisting in the preparation of Export Bulletin
  • Informing Sales Team and key customers about new products, promotions and products availability
  • Sending product information and promotional materials to sales team and customers
  • Providing assistance to Health and Safety representative; preparing risk assessment reports
  • Dealing with telephone calls and handling general enquiries
  • Carrying our routine administrative duties like photocopying, filing, etc.
  • Dealing with any ad hoc requests

Key Skills:

  • Excellent communication and interpersonal skills
  • Able to liaise confidentially with senior management
  • Good Understanding of Director level responsibilities
  • Able to support several people/projects at the same time whilst remaining highly focused and motivated in high paced environment
  • An excellent level of attention to details
  • Able to work on her/his own initiative and to tight deadlines
  • Ability to prioritise workload in a demanding team environment
  • Excellent knowledge of Microsoft Office, Power Point, Excel and Outlook
